Acknowledge a payment

Issue a receipt for the fee amount actually collected. An unpaid fee demand or an admission offer has a different purpose and should not be titled as a paid receipt.

Keep each fee head visible

The example acknowledges INR 6,000 tuition and INR 500 activity fee, totaling INR 6,500. It does not calculate late charges or update a student’s fee account.

Complete and retain the record

  1. Confirm the student and period against the institution’s record.
  2. List the collected fee heads and amounts.
  3. Enter the payment method and reference; check the total collected.
  4. Have the authorized recipient verify the receipt and retain its reference.

Fill and issue the receipt

Use the blank Word file to enter the student, fee heads and payment reference, then check the sum manually. The A4 PDF is fixed for printing. Have the school’s authorized recipient verify the amount before issuing the receipt.

An itemized receipt helps explain how the total was formed. It does not change the school’s fee rules or update its ledger.

Common questions

Does it confirm admission?

No. A payment acknowledgment is not an admission decision or confirmation of course enrollment.

Can a tuition center use the same wording?

Only after adapting the institution, student and period labels to the actual payment. Do not claim every school, course and coaching arrangement uses identical fee rules.
