What does a delivery challan record?

A delivery challan identifies goods dispatched for a stated purpose and the parties involved. It differs from the carrier’s lorry receipt and from an invoice for the sale or transport charge. Any required e-way authorization is a separate process.

Review the applicable Rule 55 particulars

Rule 55(2) specifies triplicate consignee, transporter and consignor copies in the case of a supply of goods. This download does not automatically generate that conditional copy set; duplicate and label the reviewed document where the actual case requires it. It does not create an e-way bill.

  • Date and serial number no longer than sixteen characters.
  • Consignor name, address and GSTIN if registered; consignee name, address and GSTIN or UIN if registered.
  • HSN and goods description, quantity (provisional where exact quantity is unknown) and taxable value.
  • Applicable component rates and amounts where movement is a supply; place of supply for interstate movement; signature.

Keep quantity and receipt checks separate

The example sends two test units for inspection. The recipient can record what arrived and any discrepancy without turning the dispatch record into a sale invoice.

Prepare the record

  1. Identify the movement purpose and confirm which documents are required.
  2. Enter dispatch and delivery parties and addresses.
  3. List goods and quantities with explicit units.
  4. Add relevant transport references and retain the recipient’s acknowledgment through your own process.

Use Word to complete the parties, goods, value and applicable tax-component fields manually. Print the fixed A4 landscape PDF when you need a blank form. Check whether the movement requires additional particulars or labeled copies before issue.

Common questions

Does the file generate an e-way bill?

No. It does not submit information to a government portal or determine whether an e-way bill is required.

Does listing a value calculate GST?

No. The manual layout includes a value field and conditional tax-component fields, but it does not calculate tax or determine which conditions apply.
