Make the event’s charging basis visible

Per-person pricing, a tray order and a fixed package are different bases. Name the unit on each line and match the actual order rather than entering the same quantity for every charge.

Reconcile the per-person example

The example has INR 18,000 meals, INR 2,000 staffing and INR 1,500 equipment hire. The total is INR 21,500; after a recorded INR 5,000 deposit, INR 16,500 remains due.

Choose package or itemized billing

Use guest count for a per-person meal package. For an itemized order, use the actual trays, cups and staff hours, as in the companion example below. List equipment or transport only when it was supplied and charged under the agreement.

Choose the event file

The Excel Blank sheet has ten quantity-and-rate rows and an advance deduction. Use it to calculate the main event bill. The separate itemized Word and PDF companions show the alternative order; Word amounts are manual and all supplied PDFs are fixed. No catering tax rate or event contract is calculated.

Common questions

Is this a quotation or a paid receipt?

The supplied document is a bill. A proposed offer should be clearly titled quotation; an acknowledgment should record only money actually received.

Can the restaurant file replace this?

The restaurant example is based on a meal order. Event dates, guest-count pricing, staffing and deposits make this a different resource.
