E-Invoice Format: Schema, IRN and PDF Explained
In India’s GST e-invoice system, “format” refers to the structured invoice data reported to an Invoice Registration Portal (IRP). Successful registration returns an Invoice Reference Number (IRN) and signed information for the invoice. A PDF is the readable document; creating that PDF alone does not register it.

Invoice number, IRN and QR code are different things

What the schema describes
The published schema organizes document details, supplier and recipient details, line items and totals, with additional groups where relevant. IRIS IRP’s official schema reference also shows separate shipping, dispatch, payment and reference information. A visual field label is not enough to infer the accepted code, length, data type or validation.
For a conceptual invoice EX/2627/0008, you might map the issue date to document details and a line such as “4 units × ₹250” to an item entry. Do not paste those teaching values into a live JSON request without checking the actual schema, date format, classifications and tax treatment.
What a PDF can and cannot tell you
A readable invoice helps a person check the supplier, buyer, reference, items and arithmetic. The underlying registration process is a separate step. GSTN’s overview describes the business preparing its invoice, reporting prescribed data and using the returned signed information for the issued document.
If you are a recipient, obtain the original invoice from the issuer and use the official verification facility appropriate to it. If you are preparing invoices, use software connected to the required workflow and retain the actual response and any error record. A successful document download from a template tool is not an IRP acknowledgment.
Questions to ask before relying on an invoice tool
- Does the tool only create a PDF, or does it actually support authorized IRP reporting?
- Where does it show a successful response, rejected request and correction or cancellation status?
- Does it use the current schema and applicable portal validations?
- How does it preserve the supplier’s own invoice reference alongside the IRN?
- How are original data and response records retained and exported?
- Who checks applicability and transaction-specific tax details before reporting?
Check applicability separately from learning the format
Whether e-invoicing applies depends on the notified scope, exemptions and your circumstances. Check the relevant notifications for your business and transaction; portal enablement alone does not settle applicability.
Thresholds for applicability and separate portal reporting-time restrictions are different questions. Check the current official notifications and advisories with the person responsible for your GST compliance before choosing a workflow.
Common questions
Is an emailed PDF automatically an e-invoice under GST?
No. Email is a delivery method. GST e-invoicing refers to the applicable structured reporting and registration process, not the fact that a document was sent electronically.
Can I use the same visual design for a normal invoice and an e-invoice?
A visual design can be similar, but the issued document must carry the applicable information from the actual process. Layout similarity does not establish registration.
Does this page provide a validated JSON file?
No. It explains the data flow and links to official schema resources. A real submission must follow the current schema and applicable portal validations.
Can OnlineBiller’s GST invoice PDF generator obtain an IRN?
The existing PDF generator prepares a document from entered values. It does not perform IRP registration or validate GST compliance.
