Invoice Number Format and Numbering Examples
An invoice number is the reference that distinguishes one invoice from another in the issuer’s records. Choose a pattern you can continue reliably, record each issued number and keep the same reference on copies and payment correspondence.

The examples illustrate policies, not a requirement to reset or to use a particular prefix. Decide the applicable financial-year and tax requirements before adopting a series.
The GST tax-invoice numbering rule
CGST Rule 46(b) specifies a consecutive serial number of no more than 16 characters, in one or more series, unique for a financial year. It permits letters, numbers, hyphen/dash and slash. The examples above fit within 16 characters, including their separators.
That requirement is one part of a tax invoice. A correctly shaped number does not establish that the supplier, tax treatment or other invoice particulars are correct. Other document types can have their own rules.
Write down the policy before issuing the first invoice
Keep labels such as “Invoice no.” outside the number itself. A customer purchase-order number belongs in a separate field: several of your invoices might relate to the same customer order. A GSTIN identifies a tax registration; it is not a substitute for the invoice number.
- Choose the complete pattern and count every character, including separators.
- Decide which person or system allocates the next number. Avoid two people independently using the same spreadsheet counter.
- Define whether separate branches or document types use separate prefixes.
- State exactly when a counter resets and what changes in the complete reference.
- Check the next reference against the issued register before sending the invoice.
A small register that makes mistakes visible
A gap is a prompt to investigate, not proof that an invoice must be invented to fill it. A duplicate is more serious than an untidy sequence because a payment or adjustment may be attached to the wrong transaction. Keep the investigation and any issuer corrections traceable.

Copies, cancellations and adjustments
A local document generator can display the reference you enter. Unless a tool explicitly maintains a verified shared register, you remain responsible for checking whether that reference has already been issued.
- A reprinted or re-downloaded copy retains the original invoice number.
- Do not renumber an already issued invoice simply because it was paid late.
- Keep a cancelled record distinct from a deleted draft and record why it was cancelled.
- When a transaction requires a credit note or other adjustment, use the appropriate document and reference the invoice it concerns.
- If an issued number is duplicated or incorrect, resolve the record and any tax-reporting consequences with the responsible accounts person.
Common questions
Must invoice numbers start at 1?
The cited GST rule sets a consecutive, financial-year-unique series and character limit; it does not prescribe the example starting value 0001. Use a documented starting point and continue it consistently.
Can two branches both use 0001?
They can use distinct full references such as BLR/2627/0001 and DEL/2627/0001 under a properly managed multi-series policy. Sending only “0001” removes that distinction.
Can I reset the number every month?
If you use a monthly policy, the complete identifier must remain unique within the applicable financial year. The month prefix in the example prevents September’s 0001 and October’s 0001 from being the same reference.
Does downloading an invoice reserve its number?
Not by itself. Record issued references in the system or register responsible for your business’s numbering. A downloaded file is not a cross-device duplicate check.
