LTA Documents: Travel Records and Claim Checklist

For a leave travel allowance (LTA) submission, collect each traveller’s issued tickets, fare invoices, available travel evidence and payment or refund records. Match them to the employer’s declaration and the rules for the relevant tax period. A ticket, payment record and proof that travel occurred answer different questions; a personal summary helps connect them but does not replace them.

All travellers, journeys and dates are fictional. This is an organizing example, not a prescribed government form or a determination of exempt expenditure.

The 2026 employer-form change

The Income Tax Department’s current guidance identifies Form 124 as the successor to Form 12BB, under the Income-tax Act, 2025 and Rule 205 of the Income-tax Rules, 2026. It includes LTA/LTC claim information and supporting evidence submitted by an employee to the employer.

Confirm the tax period your employer is processing and which form it needs. The new Act came into force on 1 April 2026; older-year submissions and familiar legacy references need to be distinguished from current-year forms. The form guidance does not turn every item in the practical checklist below into a universal statutory requirement.

Build a travel evidence pack

Keep the pack organized by journey rather than by file type. For example, a folder for the return leg can contain its ticket, invoice, boarding record and reissue. This makes a missing or inconsistent date easier to spot.

  • Journey details: dates, origin, destination and each actual leg of travel.
  • Traveller details: names and the relationship or eligibility information payroll requests.
  • Issued tickets and invoices: preserve fare breakdowns and booking references in the original documents.
  • Actual travel evidence: retain available source-issued boarding or travel records and ask what alternatives the employer accepts.
  • Payment and adjustments: include relevant payment records, refunds, credits, cancellation charges and reissues.
  • Employer submission: the required declaration, approved leave or other policy evidence where requested.

Use a summary to explain the records

List accommodation, meals or sightseeing separately if they appear in a combined itinerary or package. Do not fold them into a travel fare figure simply because one provider charged a single total. Ask payroll what is eligible under the applicable rules and policy.

If a ticket, invoice or boarding pass is missing

  1. Check the original airline, railway or booking provider account and registered email.
  2. Request the relevant source-issued invoice, ticket copy or available travel record from the issuer.
  3. Tell the employer exactly what is missing and ask what alternative evidence it accepts.
  4. Keep the request and issuer response with the claim.
  5. Do not manufacture a boarding pass, change travel dates or use an editable sample as proof of a journey.

Keep LTA, employer policy and government LTC rules distinct

An employer’s reimbursement process, the tax treatment of leave travel assistance and a government employee’s LTC service rules are related but separate questions. A government booking rule or fare ceiling should not automatically be copied into every private-employer LTA claim.

Common questions

Is a boarding pass always the only acceptable proof?

A boarding pass is useful travel evidence, but the required documents depend on the employer and applicable rules. Keep available issuer records and ask the claim reviewer which alternative it accepts if a boarding pass is unavailable.

Can I claim from an itinerary alone?

An itinerary records a plan. It may not show actual travel, net fare paid or refunds. Match it to the issuer documents and the employer’s evidence requirements.

Should I still use Form 12BB?

The current official 2026 guidance maps it to Form 124. Confirm the tax period and requested form with payroll, particularly when handling an earlier-year submission.

Does employer approval guarantee a tax exemption?

No. Internal approval and tax eligibility are different determinations. The applicable tax rules and your circumstances still need to be considered.
