Keep a demand separate from a receipt
A maintenance demand shows what is payable. A payment receipt shows what the society actually received against that demand. The downloadable receipt is separately titled and references the demand.
Check the example’s balance
Current charges total INR 2,500. Adding INR 500 opening outstanding and deducting a recorded INR 1,000 payment leaves INR 2,000 due. The workbook does not decide charge allocation, interest, tax or society rules.
Prepare the next period carefully
This is a single-period document. Carry a balance forward only after reconciling the actual previous demand and payments. The file does not maintain a unit ledger or send recurring bills.
Prepare the demand and payment receipt
Enter the unit, period and charges in the Excel Blank sheet, then record the actual opening balance and payments. Check the calculated amount due. Use the separately titled Word receipt only after receiving the payment; its amounts are manual. The PDFs are fixed blank and worked copies.
Common questions
Are the example charges approved rates?
No. They are fictional. Use the society’s properly approved amounts and review applicable requirements for the actual society.
Can the same document prove payment?
Use the separately titled payment receipt after verifying receipt of funds. An unpaid demand does not acknowledge payment.
