What to fill in
| Field | What to enter | Example |
|---|---|---|

| Payer and payee | Identify both sides of the outgoing payment. | Example Office → Sample Supplier |
| Particulars | Explain the goods or expense and any supporting bill reference. | Office stationery against supplier bill EX-203 |
| Approval and receipt | Record the relevant preparer, approver and payee acknowledgment for your own process. | Prepared / approved / received signature spaces |
Payment voucher, debit voucher or receipt voucher?
A payment voucher records an outgoing payment. Some accounts teams call that record a debit voucher, using their own accounting convention. An incoming receipt voucher records money received. Neither label makes the document a GST debit note, which adjusts an earlier invoice, or a gift voucher.
How to record the voucher in a cash book
The main example pays INR 850 for stationery and INR 150 for delivery. A corresponding cash-book entry can use the same reference and INR 1,000 paid-out amount. Enter it in your own records; the download does not post an accounting entry.
| Date | Voucher reference | Particulars | Paid out (INR) |
|---|---|---|---|
| 12 September 2026 | PV-EX-014 | Stationery and local delivery | 1,000.00 |
This is one reference example, not a cash-book spreadsheet or running balance.
Check the supporting record
- Confirm the payment purpose and attach or reference the original supporting document.
- Enter the payee and paid amount, checking the amount in words separately.
- Follow your own approval and acknowledgment process.
- Keep the voucher reference with the corresponding cash or bank record.
Choose and complete a voucher
Open the blank Word version for the appropriate payment direction, or print its A4 PDF. Fill the amount in figures and words, check the supporting reference, and follow your organization’s approval and acknowledgment process.
Payment, receipt and petty-cash examples
The main payment voucher records INR 1,000 paid out. The receipt companion records INR 1,000 received against a customer invoice. The petty-cash companion records INR 180 paid for postage and photocopying. Each has its own reference and signature roles. These are separate scenarios, not entries in an automated cash ledger.
Common questions
Is a debit voucher the same as a GST debit note?
No. A payment-voucher label and a GST adjustment note describe different records. Use the document appropriate to the transaction.
Is a petty-cash register included?
No. The petty-cash download records one outgoing payment. Keep the running balance in your cash book or accounting system.
